Every day our Customer Service Center is at your disposal to help you, answer your questions and follow up your requests. You can contact the Customer Service Center in different ways: by telephone, e-mail or a form on our website.
If you have a question or complaint, or wish to file a request with us, we need some information from you, such as your name, company name, your e-mail address, phone number and other information that is required to handle your request, question or complaint. We also use this information to keep you informed of the status of your request, question or complaint.
We store these data for no more than 10 years in our CRM system.

We distinguish two types of customer satisfaction survey, namely the ‘General customer satisfaction survey’ and the ‘Project customer satisfaction survey’.
General customer satisfaction survey
We conduct the General customer satisfaction survey among all our customers to find out in which areas we can optimise our service provision. As a valued customer, you play an important role in this respect. With your input, we can offer an even better service. We would also like to know whether you have noticed the effects of improvements made in response to the previous customer satisfaction survey.
The General customer satisfaction survey is carried out by a research bureau. At the end of the online survey you will be asked whether your personal results may be fed back to us with your name. If you object to this, your results will be treated anonymously. They will handle these data with extreme care. If you indicate that your data may be fed back with your name, you allow us to implement specific improvements up to customer level.
Project customer satisfaction survey
We carry out the Project customer satisfaction survey to evaluate projects and to find out in which areas we can optimise our services within a project.
We store the results of both the General and Project customer satisfaction surveys for no more than 5 years.
In practice, many employees do not know how to use their radio to be understood as clearly as possible. They are also unaware of the consequences of not properly charging the battery, not turning the radio on or not activating the Man-Down function. This can lead to unsafe situations and even to fatal incidents.
That is why we’ve developed Flash Forward, a knowledge and training platform. Flash Forward includes an e-learning environment with short animated videos that teach employees in an easy and accessible way how to properly use their radio. Each animated video is concluded with three questions, followed by a certificate.
If you wish to use our e-learning environment to train your employees in the safe and efficient use of radios, we need some information concerning them, such as their e-mail address and first and last names. This way, we can e-mail your employees with their user name and personal login details.
Your employees’ data will be stored in the Flash Forward e-learning environment during your subscription period. If you no longer wish use our e-learning environment, we will delete the entire account, including all employee contact data. If one of your employees leaves your company, we will remove him or her as a user from the application at your request.
We use social media to keep you updated about our latest communication solutions and services, our vacancies and our events. You can follow us on LinkedIn, Twitter and YouTube.
No terms and conditions from Flash apply to the use of social media. You agree with the terms and conditions of the social media platform.
If you ask us a question through social media, we will respond to your message. We also store this for no more than 10 years in our CRM system.

We send mailings about (new) products, solutions and services, developments within our organisation and rate changes. We also send invitations for events hosted by us.
We send these mailings only to those prospective and existing customers for whom this information or event is relevant (in our opinion). This could be, for example, because they are active in a certain branch.
Customers are automatically registered in our CRM system for our mailings. Each mailing you receive from us includes the possibility to unsubscribe for receiving our mailings.
There are two ways to apply for a job at Flash. You can send your CV and cover letter directly by e-mail to our HR Department. You can also use the HR contact form on our website to send us your CV and cover letter. Your application will then also be sent to our HR Department by e-mail.
We will store the application data of your applicants for no more than 4 weeks from the closing date of the application period. During these weeks, the applications are stored in the e-mail box of our HR department. The applications are also temporarily placed in a secure folder on our server and shared with the relevant manager.
Our Planning Department handles the scheduling of our engineers for the maintenance, assembly, installation and programming of equipment, among other things. This department’s staff also ensures that the appropriate preparations have been made to enable the engineers to carry out the work correctly.
E-mails
The e-mails you send to our Planning Department are kept in our archives for 1 year and are subsequently automatically removed from the e-mail box in Outlook.
Documents
The Planning Department stores all information about the peripheral equipment we have supplied to you, such as programming software or code plugs, in our internal SharePoint environment. These data are retained within SharePoint, unless you request their deletion.
Work orders
The work orders the Planning Department use are completed with information from our Flash application. Moreover, since 2014 all work orders are being stored in the Flash application. The work orders will be stored in the Flash application during the term of your agreement. Subsequently, the work orders will be archived for a further 7 years.
With reference to smart devices, we record several personal details of users, namely their name, business phone number and e-mail address, IP address and current location on the work floor (GPS). These data are stored for the duration of the lease contract for smart devices. When the contract expires, the contact details are stored in our financial administration for 7 years; personal data are deleted within 7 days.
For smart devices including a SIM card leased by us, the data regarding calling behaviour will be stored by the provider only in accordance with the legal standards.
If you visit our premises on the Moezelweg in Europoort, you will be registered as a visitor at Reception. We will ask you to write down your name, company name, your contact at Flash, date, time and signature. Flash will store the visitor records for no more than 2 weeks.
When you visit our premises, using our Wi-Fi is free of charge. As soon as you log into our Wi-Fi network, data are automatically collected, such as the identification number (MAC address) of your device. We only use these data to prevent misuse, and they are deleted after 1 year. If illegal activities take place from our Wi-Fi network, we can block the access of the device you use to access our Wi-Fi network.
We regularly organise events for our customers and suppliers. For example, every year we organise the Flash Experience (formerly known as the Partner Event), every second year we host the Flash Herring Party and every even-numbered year the Flash Customer Day.
For the organisation of these events, it’s important that we know who is attending. This way, we can provide you with information about the programme and the venue. It also allows us to send you a reminder right before the event takes place. That is why we need certain information from you when attending an event, such as your name, position and preferences for any workshops during the event.
In addition, in connection with your assessment of the event and our follow-up, it helps us to know more about how you experienced the event and in which solutions or services you have shown interest.
We store these data for no more than 10 years in our CRM system.

As a contract customer at Flash, use of the in-house-developed Online Customer Portal is free of charge. This is a real-time management tool offering you an overview of your entire communication fleet. In the 24/7 Online Customer Portal you can submit service requests, place purchase and lease orders, approve work orders and request reports. You also have free use of our issuing registration tool to easily distribute your communication equipment among your employees.
If you wish to use your Online Customer Portal to manage your communication fleet optimally, we need some contact details from you. We need the e-mail address and first and last names of the users of the Online Customer Portal in order to send them their personal user name and login details.
Several documents are recorded in the Online Customer Portal, namely your lease and/or service contracts, service requests, invoices and reports. If you use the Issue Registration function, the user data for your mobile devices (e.g. first and last names, position, personnel number and radio number) are recorded in the Online Customer Portal.
The above-mentioned data will be stored in the Online Customer Portal for the duration of your contract with Flash. If you no longer wish to make use of the Online Customer Portal, we will delete the entire account, including all employee contact data. If one of your employees (a Portal user) leaves your company, we will remove him or her as a user from the application at your request.
The course of a disaster is determined by the possibility to communicate and to respond to unexpected events. Our Flash Smart Control dispatch and alarm solution ensures that your ERT members, security guards and coordinators are alerted quickly and effectively in the event of a disaster.
With the central Flash Smart Control dashboard you can easily send standard texts, optionally supplemented with free text, to two-way radios, pagers and/or smartphones.
If you wish to use Flash Smart Control to alert your employees in the event of a disaster, we need some data concerning them. We record the following personal data: first and last names, mobile phone number, e-mail address and location during an alarm.
Your employees’ data will remain stored in Flash Smart Control as long as you use it. If you no longer wish to make use of Flash Smart Control, we will delete the entire account, including all employee contact data.
The course of a disaster is determined by the possibility to communicate and to respond to unexpected events. Flash Smart Alert ensures that your Emergency Response Team (ERT) can be quickly and effectively alerted in the event of a disaster.
With the central Flash Smart Alert dashboard you can easily send standard texts, optionally supplemented with free text, to the Flash Smart Alert app. Your ERT members rapidly receive on their smartphone’s Flash Smart Alert app crucial information about the nature and the location of the disaster.
If you wish to use Flash Smart Alert to alert your ERT members in the event of a disaster, we need some data concerning them. We record the following personal data: first and last names, mobile phone number, e-mail address and location during an alarm.
Your employees’ data will remain stored in Flash Smart Alert as long as you use it. If you no longer wish to make use of Flash Smart Alert, we will delete the entire account, including all your ERT members’ personal data.
With our Push-to-Talk solution, called Flash Smart Com, you can communicate locally, regionally or nationwide. Always and everywhere, with high availability. With Flash Smart Com we offer customers communication as a service, on both a temporary and permanent basis.
We record several personal data of Flash Smart Com users, namely the name and business phone number. These data are stored for the duration of the contract. When the contract expires, the contact details are stored in our financial administration for 7 years; personal data are deleted within 7 days.
You can contact our Service Desk for all your questions regarding repairs, fault reports and maintenance.
Work orders
The work orders the Service Desk uses are completed with information from our Flash application. With regard to personal data, it concerns the name, business e-mail address and (where applicable) phone number of the contact person. Since 2014, all work orders are being stored in the Flash application. The work orders will be stored in the Flash application during the term of your agreement. Subsequently, the work orders will be archived for a further 7 years.
E-mails
The e-mails you send to the Service Desk are kept in our archives for 1 year and are subsequently automatically removed from the e-mail box in Outlook.
Contracts
Our Service Desk also handles contract management. Contracts are recorded in our Flash application. Your contracts are visible in the Online Customer Portal during the time you have a connection (usually during the term of the agreement). Subsequently, the contracts will be archived for a further 7 years.
